User accounts are created with a unique username and a password to access the site. User profiles add additional user information (email address, address, telephone, etc). Users may be assigned user roles. Users may also belong to a workgroup.

ROLES are a set of permissions that define how you can use the ExcelWraps site. Here are typical user roles - shop floor operatives, mechanical workers, electrical workers, supervisors, managers, clients and suppliers. Roles give you access to different parts of the site and blocks irrelevant content keeping the site compact and easy to navigate. A user can have any number of roles e.g. you may be both a shop floor worker and an electrical worker. 

WORKGROUPS - Users may be placed into a Workgroup which define separate business areas.

  • User management of workgroups can be devolved to the role of 'AdminWorkgroup'. AdminWorkgroup can manage users in their own workgroup (add new users, disable users, assign roles). AdminTenant releases particular roles into a workgroup to limit the roles available to AdminWorkgroup. In the context of competence management it makes more sense for a local AdminWorkgroup to be responsible for user management rather than a remote Administrator. 
  • Access to Content - Think of a WorkGroup as a ring fence around a set of users. If you are in a WorkGroup you can only see things within the WorkGroup and not outside of it. A WorkGroup restricts access to a single business area, it can be set to 'none' if you do not wish to set any WorkGroup restrictions.
  • Local Time Zone - Workgroups may be located in a different time zone to the core business. Wraps belonging to this workgroup will operate in the local time zone.

Administrator & AdminTenant - Unrestricted access to all content.

USER STATE ROLES

Anonymous (not logged in) or Authenticated (logged in with User role permissions).

CONTENT CREATION ROLES

Editor - Can author, publish and edit his own and others' content items.
Author - Can author, publish and edit his own content items.
Contributor - Can author and edit his own content items, but not publish them (save draft only).
Moderator - Can moderate comments and tags only. No authoring permissions.
Owner - a special Wrap role dynamically allocated if you created the instance you are accessing.

*General permissions apply to all content are View, Edit, Create and Delete. Own content permissions (applying only to content you have created) are View Own, Edit Own, Create Private and Delete Own.  

WORKGROUP ASSIGNABLE ROLES - Administrators and AdminTenants have access to assignable roles settings (~/Admin/Workgroups). This determines what roles AdminWorkgroup can assign to users in their workgroup. AdminWorkgroup user management (~/workgroups/users).

TRUSTED WORKGROUPS - Administrators and AdminTenants have access to trusted workgroup settings (~/Admin/Workgroups). If a workgroup A is trusted by workgroup B all content accessible to Workgroup B is accessible to Workgroup A (trust is a one way permission so workgroup B cannot access workgroup A). It is likely that all subcontract workgroups will trust the main contractor organisation.

WORKGROUP TIMEZONE - Administrators and AdminTenants have access to a workgroup timezone and culture settings (~/Admin/Workgroups). If used all dates reported in the wrap, MyWraps reports and the Administrators dashboard will be in workgroup timezone and culture. It may be necessary to make adjustments to the server timezone and culture.
